Conference Participants

Approximately 800 to 1,000 individuals are expected to attend this conference. Most participants are from the United States and Canada, along with representatives from at least 10 other countries. People who attend the conference work in diverse settings such as museums, schools, hospitals, parks, places of worship, libraries, government agencies and a variety of non-profits. These individuals are responsible for recruiting, assigning, and recognizing volunteers who help the organizations get the job done. Organizations vary in size and scope, from international to the local level. 

Location

The conference will be held in two adjacent hotels: the Hyatt Regency Cincinnati and the Hilton Netherland Plaza, which are connected by a covered walkway. The exhibit area will be centrally located near rooms where workshops will be held. The exact location will be finalized shortly.

Promotion of the Exhibit Area

To draw participants to the exhibit area there will be:

  • Networking reception to kick off the conference on Wednesday evening

  • �Voyages Passport� which will encourage conference participants to visit each  booth. Exhibitors will initial the passport. Conference participants who visit every booth will be included in a drawing for a prize.

  • CyberCafe with a bank of computers for internet access, in or adjacent to the exhibit area

  • Dessert bar during an extended lunch time (date to be announced)

  • Comfortable seating area for informal conversation and breaks 

  • Promotion of the exhibit area in pre-conference materials, in the daily newsletter at the conference, and during special announcements at the conference.

Amenities

  • Conference volunteer on duty in the exhibit area at all times to answer questions or assist you with any concerns.

  • Overnight security to ensure the safety of your equipment and products. 

  • Electronic listing of conference participants. 

  • Eligibility for the conference rates for lodging in both hotels.

Promotional Tips

You may already have ideas about promotional activities to attract customers to your booth. Based on experiences during past conferences, we�d like to suggest a few simple ideas. 

  • Have a bowl of wrapped candy near a product you want to highlight.  

  • Offer small give-away items such as magnets, pencils, sticky notes, or whatever makes sense for your business.

  • Have a free drawing at your booth for a prize. 

  • Offer discounts to people who place an order during the conference.

  • Distribute discount coupons that are valid for a certain period of time after the conference.
